A reference manager cannot do the reading for you
A bibliography can be beautifully formatted and still contain the wrong source, an inaccurate year or a paper that does not support the sentence beside it. Reference software helps manage records and citations. It does not remove the researcher’s responsibility to decide whether a source exists, what it says and how strongly it supports a claim.
Treat the citation as the final visible part of an evidence trail. Behind it should be an identifiable source, a checked record and a note explaining why the material matters. This is especially useful when several people contribute to one report or a project resumes months after the initial literature search.
Collect a source and check its identity
Create a project collection in Zotero and save a relevant source using the browser connector or another supported import method. Check the item type and the key bibliographic fields against the publication itself. Correct obvious problems before the record enters a shared writing workflow.
A PDF filename is not an adequate source description. Check authors, title, date and publication details, and retain a stable identifier or link when available. Where a source exists in several versions, record the one you actually used. Keep an explicit note when the material is a preprint, working paper or other version whose status matters to your interpretation.
Write a note that preserves context
For each source central to your argument, record three things: the claim you may use, where the supporting material appears, and the limitation you must not omit. Separate a direct quotation from your paraphrase. A short note written carefully is more useful than a large collection of highlights with no explanation.
Consider an interview study with a narrow sample. Its findings may help explain an experience without supporting a prevalence estimate for an entire country. Record that boundary while reading. Citation accuracy includes the scope of the claim, not only the placement of punctuation in the reference list.
Use the writing integration, then review the result
Zotero supports citations and bibliographies in common word-processing workflows. Use the integration to insert citations and update the bibliography rather than manually maintaining disconnected reference lists. Test your required citation style on a few different source types before a deadline.
Check the finished document. Confirm that cited items appear in the bibliography, names and dates are sensible, and quotations have the required location information. If collaborators edit the file in different tools, agree on a workflow that preserves citation fields and keep a recoverable copy before major conversions.
Never import an AI suggestion on trust
If an AI tool suggests a paper, search for the original publication or an authoritative record and inspect it. A plausible title, journal and author list are not proof that the reference is real. Even a real paper may be irrelevant to the claim for which it was suggested.
Before submitting a report, choose its five most important claims and follow each citation back to the actual evidence. Can another reader find the source and understand why you used it? That small review often exposes weaknesses that a formatting check misses. The aim is not a larger library; it is a reliable path from a statement to its supporting material.
